Job Summary

Reporting to the Chief, Collections Management, the Manager, Insurance & Indemnity (MII) is responsible for all aspects of the day-to-day management of the NGC Fine Art Insurance Program and ensuring institutional adherence and compliance with policy terms and limits of liability. Provides critical support to Chief in the annual policy renewal exercise, the tri-annual insurance provider contract renewal. Responsible for the timely reporting of potential risk factors, or shift in scope of insurance risk exposure for the NGC, to the Chief, Collections Management without delay.
The MII closely monitors the NGC Fine Art Insurance envelope to ensure the insurance coverage limit of liability is not exceeded. The position incumbent is also responsible for the management of the fine art insurance claim settlement process, insurance planning and policy negotiations, insurance policy review and development, overseeing the application process to the Canada Travelling Exhibitions Indemnification Program, overseeing financial and information management as well as business continuity planning for the NGC Fine Art Insurance Program.


Education & Experience:
• University Degree with specialization in business, finance, economics or public administration plus a Chartered Insurance Professional (CIP) and/or Certificate of Risk Management (CRM) designation or the equivalent in relevant experience (5 years’ or more) will be considered;

• Minimum of 3 years’ progressive and relevant work experience managing a fine art insurance program and claims settlements for a fine art gallery, museum, fine art dealer, private or corporate collection, reputable auction house, or reputable exhibition organizing company or association;

• Excellent listening and communication skills - highly proficient in conveying and/or explaining complex insurance terms and conditions, policy stipulations, liability limits, and risk management concepts. Able to summarise and accurately convey, with a high degree of reliability any insurance risk factors to which the NGC may be exposed. Able to make recommendations on the best course action for mitigating exposure;

Knowledge, Skills & Abilities:

For Insurance Program Administration, Risk Assessment & Policy Governance
• Profound understanding of the profile, responsibility, accountability, and confidentiality factors of the position and the inherent exposure and management of highly sensitive and confidential information that is highly privileged and use of the information must be appropriate and rigorously vetted to ensure that the NGC’s interests and reputation are well protected and represented;
• Industry specific knowledge such as risk management and mitigation expertise relating to art transit, restoration, handling, and storage and general knowledge of inherent risk factors for works of art;
• Skilled in analysing and summarizing information quickly and accurately in order to report/relay high risk factors or shifts in the scope of risk exposure for the NGC. Minimal tolerance for error since the impact can be very serious and result in financial, legal, or reputational consequences for the NGC;
• Advanced knowledge and skill in strategic planning and forecasting to develop complex insurance needs forecasts and scenarios for multi-year programming activity and to ensure best coverage scope, terms and cost options are considered and obtained for the NGC core programming priorities;
• Excellent planning, coordination, and organizational skills and attention to detail;
• Knowledge of the business continuity planning to ensure critical operations are sustained for the insurance program in a crisis, including access to critical records and insurance policy documents

Fine Art Insurance Claims Settlement Process
• Advanced knowledge of the essential principles, methodologies, and timeline involved in the fine art insurance claim settlement process, including: adjustment process, methodologies used for damage appraisal, incident assessment and reporting & photo-documentation, valuation of damaged works, calculation of loss or depreciation in value, and preparing settlement options.

Insurance Planning & Policy Negotiations (including Policy Review and Development)
• Intermediate-Advanced knowledge of the processes and procedures associated with insurance binding, policy review and development, and final policy endorsement; in-depth knowledge of client service agreements to review, assess and rate broker and insurance provider performance;

Application Process for Canadian Heritage /Canadian Travelling Exhibitions Indemnification Program
• Intermediate-Advanced knowledge of the Canadian Travelling Exhibitions Indemnification Program application requirements, guidelines, exclusions, and coverage limits as well as knowledge of application deadlines, stages of review, and internal management requirements for preparing, monitoring and managing the application process with internal and external stakeholders;

Financial Planning & Management
• Intermediate knowledge of and experience working with a financial management system and significant knowledge of the methodology in financial planning, management, and reporting, including: tracking and reporting budget variances, forecasting and analyzing insurance needs, procurement processes and procedures and guidelines for developing service contracts for external consultants and service providers and maintaining thorough documentation and records for audit purposes;
• Intermediate-Advanced knowledge of Excel to develop and use a wide range of complex spreadsheets to manage and monitor the Insurance monthly limit of liability, annual liability and 3-year insurance forecasting for all programming activity, with a high degree accuracy and reliability

Information Management
• General knowledge of collections management systems for museums and standards for the entry of insurance related data/content and valuations and cross-verification of critical data affecting the period and scope of coverage required for works of art on loan, exhibition or acquisition;
• Solid knowledge of the application and use of shared electronic filing systems, reporting and workflow applications (knowledge of Sharepoint and sharepoint calendars and tools is considered an asset)
• Intermediate-Advanced knowledge and experienced use of MS Word, PowerPoint, and Outlook/Calendar
